Terms of service
Last updated 11 September 2026. These terms cover use of ClassLoop, operated by Techvora.
1. Who these terms are between
They are between Techvora and the organisation whose account is used to sign in. If you are booking a class as a parent or a student, your relationship is with the organisation you booked with, and these terms do not govern it.
2. Your account
Keep your password to yourself and tell us promptly if you think somebody else has it. You are responsible for what the accounts in your organisation do, including accounts you invite. An organisation has exactly one owner, who may hand ownership to another member at any time.
We may suspend an account or an organisation where there is clear abuse — sending unsolicited mail through the product, attempting to reach another organisation’s data, or using the service to store something unlawful. Suspension stops new administrative work and hides the public timetable; it does not delete anything, and it never interrupts a class already in progress.
3. Your data is yours
Your classes, members, bookings, attendance and notes belong to your organisation. We hold them to provide the service and for no other purpose. We do not sell them, we do not use them to train anything, and we do not share them with advertisers or data brokers.
You can export your records as CSV, and we will export your whole organisation on request. If you ask us to delete your organisation, we will — and once the provider’s backups have rotated, it is gone.
Where ClassLoop processes personal information on your behalf, we act on your instructions. What is stored and who can see it is set out in the privacy notice.
4. Your responsibilities as an organisation
- Have whatever basis your own law requires for recording information about participants, particularly children.
- Publish your own cancellation policy in the field provided, so the people booking with you know where they stand.
- Keep your capacities honest. ClassLoop enforces the number you set; it does not know your venue’s fire limit.
- Tell participants yourself when you cancel a class. ClassLoop cancels their bookings and can email them, but the duty to communicate is yours.
5. What we promise, and what we do not
We will run the service with reasonable care, keep it available as far as we practically can, and tell you about planned maintenance that will interrupt it.
We do not promise uninterrupted availability. ClassLoop depends on hosting and database providers, and an outage at one of those is an outage here. Because the product is in its first release and nothing is charged, it is provided as it is, without warranties beyond those the law does not allow us to exclude.
To the extent the law permits, Techvora is not liable for indirect or consequential loss, and total liability is limited to the amount you have paid us in the preceding twelve months — which, during the first release, is nothing. That is a real limit and you should weigh it: keep your own record of anything you could not stand to lose.
6. Availability of features
Features described on this website are those the product has. Where something is planned rather than present — taking payments, class passes, memberships, calendar subscriptions — we say so. We may change or remove a feature, and if a change would affect how your organisation works we will tell you first.
7. Email
ClassLoop sends only the messages an action requires: booking confirmations, waiting-list notices, cancellations, schedule changes, password resets and staff invitations. It has no mailing list and no campaign tools, and you may not use it to send anything that is not one of the above.
8. Ending it
You can stop using ClassLoop whenever you like, and ask us to delete your organisation. We would give reasonable notice before withdrawing the service, along with an export of everything you hold.
9. Changes to these terms
If these terms change materially, organisations using ClassLoop will be told directly rather than by a silent edit to this page. The date at the top always reflects the current version.
10. Law
These terms are governed by the law of Ireland, and the courts of Ireland have jurisdiction. Nothing here removes a right you have under consumer law that cannot be removed by agreement.
